Eirias Hockey Club Membership

We have put this information together to guide you through the different requirements of joining Eirias Hockey Club. There are several elements which we will now detail however as a quick summary:

Playing and Training

Training takes place on the following days and times:

Tuesday 6.00 – 7.30pm Ladies 3s

7.00 – 8.30pmLadies 1s and 2s
Wednesday 6.00 – 7.30pm Mens 3s & 4s

7.30 – 9,00pmMens 1s & 2s

Training sessions are organised through Spond, please respond so the coaches can plan the sessions knowing how many they are expecting to attend.

Please note that for both training and matches, shin pads are compulsory, and mouthguards are highly advised, especially those eligible to play in the age group tournaments.

Tournaments

We enter tournaments as below. Please note that the names of the groups relate to the age of the child when the season starts in September, not their age at the time they play in a tournament. Eirias Hockey Club will permit players to play up an age group however this is based on the coaches’ assessment of the players ability as their safety is of paramount importance.

U8s years 2 and 3 and are usually mixed sex teams
U10s years 4 and 5 and are usually mixed sex teams.
U12s years 6 and 7 and are preferred single sex teams.
U14s years 8 and 9 and are single sex teams.
U16s years 10 and 11 and are single sex teams.
U18s years 12 and 13 are single sex teams.

The U16s and U18s teams also play in the Hockey Wales cup which begins with a North Wales round, followed by semi-finals (held in Newtown) and finals (usually held in Swansea) if successful.

Adult/Senior Teams

The club have 4 men’s and 3 women’s teams, which includes a development team for each gender. All club members aged 13 and over are eligible to play for the main teams and aged 12 and over for the development teams. The teams are selected from the top team down, and selection is complete based on ability, attendance at training and commitment to the team.

All adult teams are part of divisions in the North West Hockey league who play on Saturdays both home and away – the exception to this is the women’s development team who play in a North Wales league.

Eirias Hockey Club

We use a system called Spond to manage all of our activity within the club. From invitations to training and matches, to requests for match fees and invitations to club events. We also use Spond to manage membership, which is where we start the journey for all new members.

Generally, most new members will join in for 3 taster training sessions to see if they would like to become a member. We also have returning members who already know that Eirias is a great club and they would like to return. But for both groups you need to start the membership process with a Spond registration form.

Membership Form 2025 - 26

This will generate a payment which once paid will make you an active member, able to receive invitations to events and be placed in the relevant groups.

The form asks for your Hockey Wales Affiliation Number as a mandatory field, more information on this later. It also asks you to confirm you have read and agree to the Hockey Wales Code of Conduct and Eirias Parent and Spectator Code of Conduct. These documents can be found on the club website under Club Information.

Membership Fees cover Pitch Hire for Training, Registrations (HW and League Fees), Equipment, Trophies, and Sundry Items

Match Fees cover Travel, Teas and Pitch Hire for Matches

Joining at Start of the Season

Adult and U18 Membership Fees are to be paid before the 1st September while Mini (Year 7 and Below) Membership Fees are to be paid before the 1st October. If you join before these dates you will be eligible for the early bird offer.

 Payment Options

·       We offer family discounts @ 10% for 3 family members living at the same address

·       We offer payment over instalments over June/July/August for Adults / Junior U18 and July / August / September for Junior Minis.

·       If you are a Goalkeeper with your own kit, we will waive the membership fee – we appreciate how expensive your kit is

Joining after Start of Season

Membership rates will remain constant until the 1st January after which we offer reduced membership to reflect how long is left at the time of joining.

Hoci Cymru – Hockey Wales

All members need to be affiliated to Hoci Cymru, without this you will not be able to play league matches, participate in the various age group competitions or train with the club. However, there is some leeway if you are a new member and want to see if the club is a good fit.

Potential members will be covered with insurance for three taster sessions, after which they must pay membership fees and affiliate with Hoci Cymru before they can train or play league matches.

Please note the responsibility for payment of Hoci Cymru affiliation remains with the player and we as a club have no influence over these payments.

Affiliation is valid between the 1st September to 31st August regardless of the time you join.

Game Management System

Eirias have an active presence in League Games and tournaments at all levels and age groups. The Game Management System (GMS) is essential for anyone playing in official leagues and competitions; by registering it ensures players appear on match sheets, comply with safeguarding and competition rules, and allows Eirias to manage fixtures and results efficiently.

 In addition, by creating a GMS profile, you will benefit from having your hockey history recorded, making transfers between clubs easier.

All players aged 12 and over must register on GMS before taking part in any affiliated matches. For players under 18 a parent or guardian must register as a non-player and then register their child as a player.

Players over 18 can create their profiles directly on GMS, you will only need to register once and your profile will remain active for as long as you play

For players who are transferring from another club please follow the below:

1.    Initiate Transfer

                        o   Log in to your GMS account and select “Request to join a new club” from your dashboard.

                        o   Choose your new club and provide a reason for the move.

2.    Notifications & Approval

                        o   Both your current club and the new club receive a notification.

                        o   Club admins can approve or reject the request.

3.    Completion

                         o   If both clubs approve, the transfer is confirmed immediately.

                         o   If the current club does not respond within 10 days, the transfer is automatically authorised.

                         o   If the new club declines, you must liaise with them directly.

 Match Day Kit

Eirias have a home and away kit, blue and maroon with matching socks and black shorts/skorts. The Club President manages the kit and will allocate playing numbers where required
